This policy explains how we process the personal data of people who subscribe to the PFKC newsletter.
1. Data controller

2. What data we process, why, and on what legal basis
- Sending the newsletter – your email address and chosen language. Legal basis: your consent (Art. 6(1)(a) GDPR).
- Proving that you consented – the date of sign-up and confirmation, the wording of the consent you accepted, and your IP address at sign-up and at confirmation. Subscribing requires clicking a confirmation link sent by email (double opt-in). Legal basis: our legitimate interest in being able to demonstrate consent (Art. 6(1)(f) GDPR).
- Campaign statistics – whether a given email was opened and whether a link in it was clicked. This is used only to count the total opens and clicks of each campaign; we do not build profiles of readers. Opens are recorded when a small image is loaded, and clicks when a link passes through our website. Turning off images in your email program prevents opens from being recorded. Legal basis: our legitimate interest in assessing whether the newsletter is useful to readers (Art. 6(1)(f) GDPR).
- Respecting your unsubscribe – after you unsubscribe we keep your email address marked as unsubscribed so that we do not email you again. Legal basis: our legitimate interest (Art. 6(1)(f) GDPR).
Providing your data is voluntary, but we cannot send the newsletter without an email address. We do not make automated decisions about you or use profiling.
3. How long we keep data
- Unconfirmed sign-ups are deleted after 7 days.
- Data needed to send the newsletter is kept until you withdraw consent (unsubscribe).
- Per-recipient open and click information is deleted 30 days after a campaign finishes sending; only aggregate, anonymous totals are kept.
- When you unsubscribe we delete your IP addresses and keep your email address marked as unsubscribed for as long as needed to avoid emailing you again and to show that consent was given and withdrawn. We will delete it completely on request.
4. Who receives the data
We do not sell your data or share it for marketing. It is accessed only by service providers who process it on our behalf under a data processing agreement: our website hosting provider and the email service provider we use to send the newsletter.
If any of these providers processes data outside the European Economic Area, this is done on the basis of a European Commission adequacy decision (e.g. the EU-US Data Privacy Framework) or standard contractual clauses approved by the European Commission.
5. Your rights
You have the right to:
- withdraw consent at any time – using the “Unsubscribe” link in the footer of every email or by writing to pfkc@pfkc.pl; withdrawal does not affect the lawfulness of processing carried out before it,
- access your data and receive a copy of it,
- have your data corrected,
- have your data deleted,
- restrict processing,
- data portability,
- object to processing based on our legitimate interest,
- lodge a complaint with the Polish supervisory authority, the President of the Personal Data Protection Office (Prezes UODO, ul. Stawki 2, 00-193 Warszawa), if you believe we process your data unlawfully.
